How Acerto uses documents and AI

A plain-language summary for customers evaluating Acerto. This page explains what data is processed, how AI is used, and what stays under customer control.

What customers upload

Acerto is built for invoice reconciliation workflows. Customers upload business PDFs such as invoices, receipts, scale tickets, settlement documents, remittance documents, purchase order packets, and similar supporting records.

Those documents can include customer and supplier names, addresses, material descriptions, seal numbers, weights, prices, totals, payment references, and notes that appear on the document.

How AI is used

  • Acerto uses AI to read uploaded documents and suggest structured fields for review.
  • Rendered page images and available PDF text are sent to the configured AI provider for extraction.
  • Customer-specific names, aliases, and extraction hints may be included when they help interpret the document.
  • AI output is treated as a suggestion. Acerto does not make payment decisions automatically.
  • Users can review, correct, approve, escalate, or reject extracted values before downstream payment work.

Model training and reuse

  • Acerto does not use customer documents to train Acerto-owned AI models.
  • Customer data is not shared with other Acerto customers.
  • Corrections may be used to improve that customer's Acerto configuration, such as aliases, mapping rules, and extraction hints.
  • Acerto does not intentionally permit AI providers to use customer documents to train public models.

For paid deployments, the active AI provider and other subprocessors should be listed in the customer's agreement or vendor summary.

What Acerto stores

  • Uploaded PDF metadata and the private storage location.
  • Extracted fields, line items, confidence values, corrections, notes, and workflow status.
  • Audit history for key document, user, and reconciliation actions.
  • Operational logs and metrics needed to run, secure, debug, and improve the service.

AI observability is configured to keep operational visibility without recording prompt inputs or model outputs as telemetry payloads.

Human access

Customer users only see data for organizations they belong to. Connective Solutions may access customer data when needed to provide support, investigate issues, maintain the service, or meet legal and security obligations.
